**Key Responsibilities:**
- **Schedule and Coordinate Showings:** Arrange property showings, confirm appointments, and manage calendars for our agents to ensure smooth operations.
- **Answer and Direct Calls:** Be the first point of contact for clients and prospects, providing outstanding customer service and handling inquiries with professionalism.
- **Send Listing Information:** Distribute property details, marketing materials, and updates to clients and prospects in a timely manner.
- **Manage Client Database:** Maintain and update records in our CRM software, ensuring organized and efficient follow-ups with clients.
- **Navigate the MLS:** Input and update property listings, research market data, and generate reports as needed to support our team.
- **Draft and Send Professional Communication:** Write clear, direct, and professional emails, correspondence, and internal memos to facilitate effective communication.
- **Oversee Team Members (If Needed):** Provide guidance and support to junior administrative staff as required, fostering a collaborative team environment.
- **Maintain Attention to Detail:** Ensure accuracy in all documentation, listings, and client communications to uphold our high standards.
- **Professional Appearance and Conduct:** Maintain a polished and presentable image in all business interactions, reflecting our commitment to professionalism.
- **Assist with Office Operations:** Support day-to-day administrative functions, organize files, and handle special projects as needed to keep our office running smoothly.
**Qualifications:**
- **Experience:** Prior experience in an administrative, real estate, or customer service role is preferred.
- **Technical Skills:** Proficiency in Microsoft Office Suite (Word, Excel, Outlook), CRM software, and MLS platforms is essential.
- **Organizational Skills:** Strong ability to multitask, manage time efficiently, and prioritize tasks in a dynamic environment.
- **Communication Skills:** Excellent written and verbal communication skills with a friendly and professional demeanor.
- **Attention to Detail:** A keen eye for accuracy in managing listings, client records, emails, and office documentation.
- **Customer Service:** A commitment to providing a high level of service to clients, agents, and team members.
- **Leadership Ability:** Capable of overseeing and managing junior team members when needed, fostering a supportive team culture.
- **Professional Appearance:** A polished and professional image in all business interactions is required.
- **Adaptability & Problem-Solving:** Ability to work independently, anticipate needs, and find solutions efficiently in a fast-paced environment.
- **Real Estate Knowledge:** Familiarity with real estate terminology, processes, and market trends is a plus but not required.
**Compensation:**
$60,000 - $80,000
