Seeking an experienced, reliable, and proactive part-time Personal Executive Assistant to prioritize time for CEO/President to ensure a focus on achieving key goals, by scheduling meetings, managing multiple entity calendars, and performing a variety of general administrative tasks amongst shifting priorities.
The part-time Personal Executive Assistant will be responsible for being confidential and managing the personal and business dealings of the CEO. They must be highly organized, possess exceptional multitasking skills, and demonstrate excellent time management. Strong verbal and written communication skills, along with a solutions-oriented mindset, are essential for success in this role.
RESPONSIBILITIES:
-Calendar and schedule management: coordinate meetings, appointments, and events, both personal and professional, ensuring timely reminders and smooth scheduling
-Complete daily, monthly, and yearly reports across four corporations and personal affairs
-Perform monthly staff progress evaluations
- Handle confidential and sensitive information with discretion.
-General administrative support (e.g., taking detailed notes, compiling data for reports, transcribing documents, data entry, and typing as needed)
- Maintain filing systems and ensure documents are organized and easily accessible.
-Managing information flow in a timely and accurate manner
-Arrange travel itineraries, bookings, and/or accommodations as needed
-Assist with other tasks as assigned.
SKILLS + EXPERIENCE
-1 to 3 years' experience in an office environment
-1 to 3 years' experience filing, typing, copying
-Strong knowledge of Microsoft Office (Word, Excel, Outlook); Computer savvy
-Active listening and excellent communication and interpersonal skills
-Must be a self-starter and possess the ability to work independently
-Proactive approach to problem-solving
-Strong organizational skills, with the ability to multi-task and meet deadlines among shifting priorities
Job Type: Part-time
Pay: $15.00 - $20.00 per hour
